This policy explains how Softvize Ltd (“we”, “us”), the company behind Docvize, handles personal data. It covers our marketing site and the Docvize application. If you have any questions, email [email protected].
Who we are
Docvize is a trading name of Softvize Ltd, the data controller for personal data processed through Docvize. Softvize Ltd is registered in England & Wales (company number 15843296), registered office Unit B1 The Knowledge Gateway, Nesfield Road, Colchester, United Kingdom, CO4 3ZL. For the contracts you upload, we act as a data processor on your behalf.
What we collect
- Account data - your name, work email and workspace details.
- Contract content - the documents you upload and the data Docvize extracts from them.
- Usage data - how you use the product, plus standard logs (IP address, browser, timestamps) for security and reliability.
- Billing data - handled by our payment processor; we never see full card numbers.
How we use it
To provide and improve Docvize: running the analysis you ask for, sending renewal reminders, securing the service, supporting you, and meeting our legal obligations. We rely on contract performance, legitimate interests and, where required, your consent as our legal bases under UK GDPR.
AI processing
Docvize uses AI models to analyse the contracts you upload. We do not use your documents to train AI models, and our AI providers process your content under contractual terms that prohibit training on it. Documents are sent for analysis and the results are returned to your workspace.
Sharing and subprocessors
We share data only with the suppliers needed to run Docvize - hosting, our AI provider, email delivery and payments - each under data-processing terms. We do not sell personal data. A current list of subprocessors is available on request.
Security and retention
Data is encrypted in transit and at rest, and each workspace is isolated in its own database. We keep personal data only as long as needed to provide the service or meet legal requirements, and delete it on request or when you close your account.
Your rights
You can access, correct, export or delete your personal data, object to certain processing, and complain to the Information Commissioner’s Office (ICO). To exercise any right, email [email protected].
International transfers and cookies
Your data is stored in the UK. Where any processing happens elsewhere, we use appropriate safeguards. We use only essential cookies needed to run the site and keep you signed in.
Changes
We will update this policy as the product evolves and post the new version here with a revised date. Material changes will be communicated to account holders.
